What you will do

  • Draft and update comprehensive event timelines in Aisle Planner.
  • Coordinate vendors by collecting contracts and essential vendor details.
  • Request, track, and file Certificates of Insurance (COIs) for venues and vendors.
  • Maintain accurate client and vendor information in Aisle Planner and the company CRM.
  • Create scaled floor plan layouts in Aisle Planner using venue dimensions and sketches, including asset placement (tables, chairs, bars, stages, decor).
  • Support internal project progress tracking using Trello and assist with planning-related email communications.

Requirements

  • Location: must be based in the Philippines (Central Luzon, Central Visayas, or Davao Region)
  • Proven experience in event planning administration or as a virtual assistant in the events industry.
  • Must be proficient in Aisle Planner (confirmation required when applying).
  • Strong attention to detail for data entry, timelines, and floor plans.
  • Excellent communication skills; highly responsive and reliable.
  • Proactive, independent problem-solving and ability to anticipate needs.
