What you will do
- Maintain daily operational workflows and ensure consistency across systems and documentation
- Manage CRM data accuracy and operational data across multiple platforms
- Process invoices and coordinate billing and payment follow-ups
- Monitor crew scheduling, job tracking, and resolve scheduling conflicts
- Coordinate client communication and maintain updated CRM pipelines
- Prepare reports, proposals, and conduct operational research and documentation
Requirements
- Must be based in Panama and work U.S. Business Hours (EST)
- Experience in operations coordination, billing, scheduling, and administrative support
- Strong proficiency with Microsoft Excel, Outlook, Word, Teams, OneDrive, and CRM systems
- Strong written English communication skills (minimum B2 level)
- High attention to detail and ability to work independently in a remote environment
Nice to have
- Experience with Aspire, Azuga, CompanyCam
- Background in construction, landscaping, or field service businesses
- Experience with payroll coordination, job costing, and accounts receivable follow-ups
